Title:   ADMINISTRATIVE ASSISTANT - SCHOOLS

Position Type: Non-Exempt

Primary Function:

Position is responsible for providing clerical office support in a school office.

Minimum Qualifications:

  • Successful completion of the Office Clerical Skills Test.
  • Completion of high school or any equivalent training and two to three years of related work experience in progressively responsible positions preferably in a school system.
  • Thorough knowledge of standard office practices, procedures, and equipment.
  • Ability to type accurately and at a reasonable rate of speed; proficiency with Microsoft Office.
  • Must establish and maintain effective working relationships with other employees and the public.
  • Ability to understand and follow oral and written instructions.
  • Ability to work independently with minimum supervision performing a variety of complex and routine tasks.
Performance Responsibilities:
  • Performs a variety of clerical tasks as assigned by the administrator.
  • Assists with student enrollment and withdrawals.
  • Serves as school receptionist as required.
  • Maintains attendance figures and reports information as required.
  • Maintains school master calendar, as applicable to school level.
  • Coordinates facilities use requests and maintenance work orders.
  • Inputs appropriate student fees into Rycor system, as applicable at school level.
  • Completes all requisitions, purchase orders, requests for checks, and ordering of materials for the school, as applicable at school level.
  • Assists with student scheduling and student files and records.
  • Ability to plan and manage assigned functions and staff.
  • Knowledge of accounting / bookkeeping procedures.
  • Ability to interpret, apply and make decisions using School Board policies and procedures without the supervisor.
  • Assists the supervisor with delegated administrative functions (including collecting and recording money, verifying leave forms/time sheets for school staff, planning special events, etc.)
  • Monitor and verify school program budgets.
  • Demonstrates ability to learn and use YCSD standard software to perform required tasks.
  • Compiles information from various sources for records and reports.
  • Answers the telephone and responds to the needs of students, parents, teachers, administrators and vendors.
  • Maintains confidentiality as required.
  • Models nondiscriminatory practices in all activities.
  • Performs other duties as assigned.

Evaluation:
Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of non-licensed personnel.
