Title:   SECRETARY II

Position Type: Non-Exempt

Primary Function:

Performs a variety of intermediate and increasingly complex tasks and job assignments using typing, word processing, clerical, organizational, and computer skills with adequate supervision. Works independently after receiving instruction; may perform more specialized assignments requiring specific program knowledge.

Minimum Qualifications:

  • High school graduate or equivalent and additional business/secretarial courses; two years related work experience.
Knowledge, Skills and Abilities:
  • Thorough knowledge of standard office practices and equipment and standard proofreading symbols on edited work; demonstrates knowledge of standard document formats taught in business courses or shown in reference handbooks.
  • Basic knowledge of spreadsheet software as exhibited by use of beginner level program functions and basic accounting/bookkeeping procedures.
  • Proficiency, in use of word processing software as exhibited by use of program functions at beginner and intermediate levels; exhibits use of correct English grammar, spelling, and punctuation.
  • Possesses keyboarding skills with which to produce accurate work in a timely manner.
  • Ability to deal with members of the general public in a pleasant and effective manner both on the telephone and in person and to establish and maintain effective working relationships with others. Professional attitude and good communications skills.
  • Ability to learn other microcomputer programs as required and quickly learn procedures used to report information and maintain records.
Performance Responsibilities:
  • Prepares from draft (diskette, dictaphone, handwritten) routine and complex documents in proper form.
  • Becomes knowledgeable of School Board policies and administrative and clerical procedures which apply to School Board Office operations.
  • Keeps accurate records to enable ordering, receipt and distribution of supplies and maintains a ledger if required.
  • Maintains confidentiality of reports, records, correspondence, and communications when required to handle such information; maintains files to ensure easy access to information.
  • Handles telephone calls in courteous manner, taking accurate and complete telephone messages or relay call to appropriate person.
  • Verifies program expenditures using central office printout as a cross reference.
  • Uses microcomputer programs required to accomplish assigned work, especially word processing and spreadsheet software.
  • Performs other duties as assigned.
Reports to:
Manager of School Board Office Building or Director
Terms of Employment:
Twelve months a year. Salary according to School Board Pay Plan.
Evaluation:
Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of non-licensed personnel.
