PRINT OPERATIONS LEAD


Primary Function

Leads the daily operations of the division’s Print Shop, ensuring the timely, accurate, and high-quality production of printed materials for schools and departments. Oversees workflow management, equipment operation, job scheduling, quality control, and supply management. Provides daily direction and task coordination for the Print Operations Assistant and serves as the primary point of contact for print service needs. Maintains efficient production processes, monitors equipment status, and ensures the Print Shop operates safely, effectively, and in alignment with division standards.

Minimum Qualifications

  • High school diploma or equivalent, with demonstrated experience and knowledge in operating high-speed photocopiers, digital printing devices, reprographics equipment, bindery machinery, and related print-shop production equipment; or any equivalent combination of training and experience that provides the required knowledge, abilities, and skills.
  • Experience in print shop operations, workflow coordination, high-volume print production, and customer support preferred.

Knowledge, Skills and Abilities

  • Knowledge of print shop operations, high-speed printers, copiers, reprographics systems, folders, cutters, drill presses, and binding equipment.
  • Knowledge of large-volume paper handling, storage, and finishing techniques.
  • Ability to determine the most efficient and cost-effective reproduction methods based on job specifications.
  • Proficiency using print management systems and online job-submission platforms.
  • Proficiency with Microsoft Office applications including Outlook, Word, and Excel.
  • Ability to train, guide, and support print shop staff.
  • Ability to gather and analyze production data to prepare reports and recommend process improvements.
  • Ability to organize work, manage multiple deadlines, and maintain high attention to detail.
  • Strong interpersonal and customer-service skills.
  • Ability to work independently with minimal supervision.
  • Ability to lift sixty (60) pounds unassisted and perform the physical requirements of operating print shop equipment.
  • Ability to maintain effective working relationships with staff, supervisors, and customers.

Performance Responsibilities

  • Oversees daily Print Shop operations, including job scheduling, workflow assignment, and production timelines.
  • Serves as the primary administrator for the print shop job management software application.
  • Provides daily direction, task coordination, and training to the Print Operations Assistant.
  • Reviews submitted job requests for completeness, accuracy, and production requirements.
  • Distributes, organizes, and prepares print jobs, ensuring all work meets quality standards.
  • Ensures consistent application of division printing guidelines, finishing procedures, and service levels.
  • Operates high-speed photocopiers, digital printers, reprographics equipment, cutters, folders, drills, and binding equipment.
  • Initiates and coordinates maintenance and repair service requests with vendors; serves as primary technical contact during repairs.
  • Monitors equipment performance and identifies opportunities for upgrades or replacements.
  • Ensures high-quality output across all printed materials, including color, finishing, alignment, and durability.
  • Provides customer service to schools and departments by answering questions, offering guidance on job preparation, and communicating turnaround expectations.
  • Generates cost estimates for non-instructional print requests and supports billing operations.
  • Monitors inventory of paper, toner, and Print Shop supplies; orders materials to ensure uninterrupted operation.
  • Maintains accurate usage and production records, including job counts, supply consumption, and statistical reports.
  • Supports budget management for Print Shop operations, tracking expenses and recommending cost-efficient practices.
  • Prepares weekly, monthly, and annual production reports as requested by IT leadership.
  • Maintains organized records of print jobs, supply inventories, service requests, and vendor interactions.
  • Recommends improvements to workflow, equipment configurations, and operational procedures.
  • Ensures safe operation of all equipment and compliance with division procedures.
  • Maintains a clean, organized, and efficient Print Shop workspace.
  • Performs other duties as assigned.

Position Type: Non-Exempt

Reports to: Director of Information Technology

Terms of Employment: Twelve months a year. Salary according to School Board Pay Plan.

Evaluation: Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of non-licensed employees.
