Title:   ADMINISTRATIVE ASSOCIATE - SCHOOL BOARD OFFICE

Position Type: Non-Exempt

Primary Function:

Position is responsible for providing clerical support for the front desk at the school board office. Perform a variety of routine office procedures using clerical and basic computer skills with appropriate instruction and close supervision.

Minimum Qualifications:

  • High school diploma or equivalent and some previous office experience; and or any equivalent combination of experience and training.
  • Completion of the "Secretary Skills Test" for the Secretary I level.
  • Thorough knowledge of standard office practices, procedures, and equipment.
  • Ability to type accurately and at a reasonable rate of speed; familiarity with Microsoft Office.
  • Ability to establish and maintain effective working relationships with other employees and the public.
  • Ability to understand and follow oral and written instructions.
  • Proficiency in use of word processing software and initiative to learn other computer programs as required.
  • Exhibits use of correct English grammar, spelling and punctuation.
  • Professional attitude and good communication skills.
  • Ability to quickly learn procedures used to report information and maintain records
  • Ability to multitask and prioritize.
  • Demonstrates ability to learn and use YCSD standard software to perform required tasks.
Performance Responsibilities:
  • Performs a variety of clerical tasks as assigned by the administrator(s).
  • Serves as receptionist for the school/building.
  • Becomes knowledgeable of School Board policies and procedures and applies them appropriately.
  • Compiles information from various sources for records and reports.
  • Greet the public, answer phones, and supports the needs of students, parents, teachers, administrators and vendors.
  • Use computer programs required to accomplish assigned work, e.g. word processing and data input.
  • Distribute incoming mail.  
  • Maintain division management and conference room calendars.
  • Maintain a pleasant attitude, being tactful and courteous toward co-workers, students, parents, and visitors.
  • Maintains confidentiality as required.
  • Models nondiscriminatory practices in all activities.
  • Performs other duties as assigned.
  • Maintains building security at all times.

Terms of Employment:
Twelve months a year. Salary according to the School Board Pay Plan.
Evaluation:
Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of non-licensed personnel.
