How should I name my gradebook(s)? Gradebook names must not include any spaces, periods, or dashes.  They should be named so that they can be easily identifiable by anyone who sees the name.  Things to include in the name should be: teacher name, school year, period, subject, and class or course name.  Any additional information that would assist in recognizing what this gradebook is for may be included.

What do I do if I forget my password for GradeQuick? Call your ETF.  While logged in at your site, your ETF can reset your password for you.  If your ETF is unavailable, please call 0311.

What is a grading window?
This is a period of time (days) set by the school division to make certain your gradebook(s) are up to date, and that your grades are sent to ADM.  This window deadlines must be observed.  Failure to send grades through GradeQuick to ADM during that designated time results in missing information from report cards.  Each gradebook in use must be opened, with grades from each sent individually.

How do students get added to or dropped from my class? When a student is added or dropped from your class, your guidance counselor will make this modification directly through ADM (our student management system).  Each evening, automated controls within GradeQuick move this information out of ADM, and into your GradeQuick gradebook(s).  The next time you log in to your gradebook, you will see a notification that this modification has taken place.  Dropped students will still be seen in your gradebook, with the designation, "dr".  At this time, you should select the student, and right-clicking, find the "hide" option from the resulting menu.  This will allow you to keep the dropped student's grades for future reference, also allowing you to enter grades normally for the remaining students.  If the student has not been in your class long enough to accumulate grades, you may choose to delete the student from your gradebook, choosing "delete student" instead of "hide student".  DO NOT delete a student from your gradebook if you have not received a "dropped" notice through GradeQuick.

Are there any keyboard shortcuts to make using GradeQuick more efficient? None worth mentioning.  Most of the shortcuts appear in producing menus by selecting a cell in a column of interest, and then right-clicking to produce a menu with processes that can be performed on the column of interest.

Can I transfer my test information from one gradebook to another without having to retype it? (What is a gradebook to gradebook copy?)
Yes.  Test names can be transferred from one test to another using the "Gradebook-to-Gradebook" copy feature.  This is useful when teaching more than one class period of the same course.  Find this feature in the Edit menu.  Follow the prompts in "Gradebook-to-Gradebook" to designate which of the named tests you'd like transferred, and from which gradebook to which gradebook.

Can I work on my grades from home and school?
Yes.  While at school, GradeQuick is accessed from the school server.  In order to work on your grades at home, you must have a personal computer at home that will accommodate the installation of GradeQuick v11.  Our licensing allows teachers from your school to install the program on their home computer.  A copy of this program can be checked out from your ETF.  Once you have GradeQuick installed at home.  You will go through a process of checking your gradebook out from school, and checking it back in at home.  Please see the exact procedure below:
  1. With GradeQuick open at school, close all files, but do not exit the program.
  2. Goto File/File Management and choose, "check out gradebook"
  3. (Have a floppy or thumb drive ready at your computer to receive this file.)
  4. Browse to the floppy or thumb drive when asked.
  5. Choose the gradebook file(s) you would like to take home.
  6. Once checked out, those files will be on the floppy or thumb drive.  (Warning: They can no longer be opened at school until they are checked back in at school.)
  7. Use this device to transport your files to your home computer.
  8. With GradeQuick open at home, Goto File/File Management and choose to "check grades in".
  9. Next, open the file(s).
  10. Once your work is done at home, close all the files, and then check them back out.
  11. Bring them back to school, open GradeQuick, and Goto File/File Management, and choose to check those files in.
  12. With those files checked back in, you may once again open the files at school.

Should I back up my gradebook? Your grades are automatically backed up on your server.  Do not make back up copies of your grades.  Do not use the "Save As..." feature.  You should, however, print copies of your gradebook, if you do not keep a hand-written gradebook.  The best way to accomplish this is to print each quarter individually upon the closing date of each quarter.

Is it possible to work with all comment columns simultaneously? Yes, however, in order to work with all columns at once, you must enter exact codes only.  Use of the School Note Library, located in the Edit menu, allows you to see the code connected with exact comment, but entering comments in this manner disallows more than two comment columns to be opened at once.
So you have two options when entering comments for students:

  1. Show all four comment columns at once
    • use a hard copy of the codes in order to determine the desired code to enter into each column
  2. Show only one or two comment columns at once.
    • Use either the hard copy to enter the exact code, or use the School Note Library to enter the code and comment into the column.
Suggestion:  Use a blank spreadsheet to initially determine the comment codes desired for each student in the course.  These can be easily transferred using option one above

What is the difference between entering comments from the School Note Library and typing in the comment number?
Ultimately, both methods result in the same comment being inserted exactly the same way on the student report card.  The School Note Library has been added to GradeQuick for your convenience.  You may use a printed copy of the comment codes, just as you have in the past.  You need not use the School Note Library.

What gets sent to ADM? At the middle school level, quarter grades get sent to ADM at the interim and quarter.  The final grade is sent at the end of a course, which may be the end of the year, the end of a semester, or the end of a quarter (example: wheel course), depending on the length of the course.  It's important to know the difference between sending your grades to ADM, and sending final grades to ADM.  The final will only be sent at the end of the course.  At all other times, choose "Send grades to ADM2000".

How can I round up a student's grade? Student grades can be rounded by double-clicking on the actual grade in quiestion.  Enter the rounded grade, and press Enter.  The rounded grade will now be green, indicating it has been changed.  It will remain changed until you would like to change it back to the actual grade.  In order to have GradeQuick determine the actual grade again, double-click the grade, delete it, and press Enter.  The actual grade will return.

When and how often can I send grades to ADM? A window of time will be open, usually a week prior to the closing of the reporting period when grades are due, teachers will be asked to send their grades to ADM.  During that window of time, teachers will need to send their grades for each course they teach.  If a grade has been modified after being sent to ADM, the teacher can resend the grade information for that course.  Each time the information is sent, it over-writes the information previously sent.  This can be done as many times as needed, until the grading window has closed.

How do I know that my grades were successfully sent? A link has been provided on SID to assist you in discovering whether or not your grades have been sent successfully to ADM.  In order to use the link, you must know your teacher number and school ID number.  Plugging both in will result in a list of courses whose grades were sent in your name, along with the time that they were sent.

How do I handle incompletes? If the student earned an incomplete for the course, double click the end of year final grade in the year column, delete out the actual grade, and type in the letter "i".  ADM will accept the letter "i" as an incomplete, where it will remain in the student record until the student has completed the missing work for the course.

How do I start a new quarter? Starting dates and ending dates for each quarter will be added to your course in GradeQuick when you import your course roster at the initial creation of your gradebook.  GradeQuick will automatically provide the correct quarter information, depending on the date indicated by you for each test.  Use the same gradebook for the entire course.  At the end of the course, if it's a quarter long, or semester long course, you will create a new gradebook for the new course.  If your course is a year-long course, use the same gradebook for all four quarters.

How do I deal with exam and semester grades for a semester course? The default GradeQuick values set each quarter at 40% of the semester grade.  A required semester exam is given the value of 20% of the semester grade.
  • If the student is excused from his/her end-of-year final exam as a result of achieving a qualifying score on his/her SOL exam, an "N" is given for the exam grade.  This "N" is valued at 0% of the second semester grade, making each quarter of the semester worth 50% of that semester grade.

  • If the student taking the course is excused from his/her end-of-year final exam as a result of achieving a qualifying score on his/her SOL exam, an "N" is given for the exam grade.  This "N" is valued at 0% of the second semester grade, making each quarter of the second semester worth 50% of that semester grade.

How do I enter an end-of-semester or end-of-year exams in GradeQuick? The title of the exam for semester one must be, "Exam1", written exactly as you see it here, with no spaces or quotation marks.  For the second semester it is entered as "Exam2".  The quarter indicator of "2" for the second quarter or "4" for the fourth quarter must be deleted from the exam column.  Do this by double-clicking the quarter indicator number, and after deleting the quarter number, hit Enter.  When prompted to assign the exam to a particular semester (1 or 2) or year (Y), choose the semester number that it is to be associated with, and press ok.  Assign it a value of 20%.  This is to complete the valued categories for that semester as follows:
Quarter 1 = 40%
Quarter 2 = 40%
Exam1 = 20%
